What clients don’t always realize is that a clean list is one of the most important investments in campaign success.

And the work we do behind the scenes sets the tone for everything that follows.


Step 1: Start With Deduplication — By Address First

One of the biggest issues we catch early is duplicate entries. Sending two handwritten cards to the same location creates confusion and immediately makes the message feel less authentic.

But here’s the trick. We don’t just look at business names when checking for duplicates. We look at addresses.

That’s because many businesses today are home-based or share office space. You might see “Elite Gutters LLC” and “Omaha Window Washers” both listed at the same address. Even if the business names differ, we know to only send one piece of mail.

This step is critical because it also prevents creating unnecessary extra work later in the cleanup process. When we deduplicate first, we avoid polishing and formatting the same record twice. It’s the most efficient and reliable way to maintain clean, focused data from the start.

We use a custom-built AI assistant (via ChatGPT) to run this address-level deduplication.

It helps format consistently and flag matches automatically, even when the original formatting is messy.


Step 2: Humanizing Business Names

Once we’re confident the list contains only unique addresses, we move on to polishing business names.

This is where we make your list sound like it came from a person, not a database. For example:

  • Removing formal suffixes like LLC, Inc., and Corp.
  • Cutting middle initials or extra legal identifiers
  • Simplifying phrases to how people actually refer to the business
  • Adjusting names so they feel more natural inside a handwritten message

We’ve even created naming conventions where “Benjamin’s Landscaping Services LLC” becomes simply “Ben’s Landscaping.”

These tweaks go a long way in making the message feel believable and personalized.


Step 3: Polishing the Address Fields

After names are humanized, we clean up the rest of the address for clarity and readability.

Here’s what we look for:

  • ZIP Codes are trimmed to five digits only
  • City and state fields are standardized
  • Human-friendly abbreviations are applied:
    • “Street” becomes “St.”
    • “Suite” becomes “#”
    • “Northwest” becomes “NW”
    • “Road” becomes “Rd.”

This subtle work is important. It creates a consistent, natural appearance across your entire list. We want envelopes to feel handwritten — NOT overly perfect or computer-generated.
